Procedures for Rejoining After Being Inactive for a Semester

This document outlines the formal procedure to be followed by students who wish to rejoin the academic program at IIT Bombay after a semester of inactivity, either due to a semester drop or a semester exchange (SemEx).

1.  Rejoining After a Semester Drop

Students who have taken a semester drop and intend to resume their academic program must complete the following steps:

Approval Process for Drop: Initially, the drop application should have been duly approved by:

  • The Faculty Advisor (FacAd)
  • The Convener, Department Undergraduate Committee (DUGC)
  • The Convener, Undergraduate Academic Performance Evaluation Committee (UGAPEC)

Payment of Continuation Fee after coming back:

  • Students are required to pay a Continuation Fee of ₹3000 at the Academic Office (offline mode).
  • Once payment is made, the student's registration portal will be reopened, allowing them to register for courses as per the announced registration schedule.

Course Registration:

  • The student must register for courses within the stipulated registration window, following all applicable academic and credit regulations.

Hostel Fee Exemption:

  • Students are not required to pay hostel fees for the semester during which they were on a semester drop.

2.  Rejoining After a Semester Exchange (SemEx)

Students returning from an approved Semester Exchange (SemEx) program must follow the procedure below:

Fee Payment:

  • No continuation fee is applicable, as institute fees continue to be paid during the exchange semester.

Credit Transfer Process:

  • Upon return, the student must write to the Head of the Department (HoD) requesting the transfer of credits earned during the exchange.
  • The following documents should be attached:
    • Grade card/transcript issued by the host (foreign) university.
    • Copy of the prior approval issued by the HoD before the commencement of the exchange.
  • The department will then forward the Credit Conversion Form (as per the prescribed template) to the UGAPEC/PGAPEC Convener for official processing.

Course Tagging:

  • All transferred courses must be tagged in accordance with institute norms based on the approved equivalence and relevance.
